Bring in all your teachers and their availability from an Excel sheet, including the form your school already uses.

Each teacher’s days, several time slots a day, the formats they teach — private, online, semi-private — and where they teach.

Before a lesson is planned, the teacher’s own availability and their existing lessons are checked, so nobody is booked twice or outside the hours they gave.

When a student books or extends, private, online and semi-private lessons are planned into a teacher’s week on the days and times the student asked for. If no teacher fits, the booking says “must be assigned”, with the reason.

Lessons that fall into a teacher’s time off are moved to another teacher or another hour automatically. Only what cannot be moved is left to the office.

A calendar per teacher, by week or month: plan one lesson or a repeating series, move it, cancel it, mark it held, add notes. And a school week view with a colour per teacher.

Their own calendar, the week ahead to confirm or hand a lesson to a colleague, their classes as an Excel download, and their availability. Planning and reassigning stay with the office.

Hours done and hours left per package, counted from lessons marked held. And a history of every lesson and availability change: who changed what, and when.
